About
The Canned Responses Google Workspace Add-on allows the user to provide a canned response to a Google Sheet, Google Doc, Google Slide or Gmail draft straight from the sidebar. The Add-on conveniently accesses pre-written phrases that can be quickly inserted into the apps mentioned above without any need to write them from scratch.
All canned responses are accessible from the sidebar for Google Docs, Sheets and Slides and inside the compose menu in any Gmail draft or reply.
Every canned response is stored in a Google Sheet, owned exclusively by you. Each response is separated by a category, identified in the Google Sheet as a sheet tab and a sub category. For convenience, a title is also added to the response for longer responses.
When you open the Canned Responses app from the sidebar you can access all categories from the homepage.
You can either add or remove responses from your Google Sheet or add a new response from the convenience of the add-on.
The Canned Response app is ideal for the busy professional who needs to be able to respond to emails or create documents quickly based on regular language patters:
Legal professional can use it to build templates for their contracts and agreements.
Educators can use the add-on to draw from best practice language when writing review, giving feedback or providing report cards.
Technical support teams can draw from common text that they found most successfully solves and supports their clients problems.
How to Use the Add-On
After installing the Add-on from the Google Workspace Marketplace, open any Google Sheet, Google Doc or Google Slide, or open the add-on from a draft or reply email in Gmail.
Inserting a Canned Response
To insert a canned response:
Open the add-on from the sidebar.
Select a category.
Read through the titles for each item in the category until you find the response that you need.
Note! For larger categories, you can navigate across pages of responses using the NEXT and PREVIOUS buttons.
Click on your desired response that you wish to insert.
You can read the entire response to make sure this is the response you are looking for, or you can simply click the INSERT button.
The response will be inserted into your Google Sheet, Doc, Slide or Gmail message.

Adding a New Canned Response
You can add a new response from the homepage or from the response list of your selected category.
To this:
Click the add icon.
Add the Title, Category, Subcategory and Response to the text input fields.
Note that Categories and Subcategories will provide suggestions for you based on what is already available in the Canned Responses Google Sheet where you stored your responses.
All fields must be included before the response will be submitted.
Click SUBMIT.
You will be returned to the homepage where you can then navigate to your new canned response.
